Responsibilities and Duties Billing assistants are the persons that will have to create and then send invoices to clients, to inform them about the payment. They must also research disputed invoices. The responsibilities of a billing assistant are - to issue billing adjustments, track, process and complete invoices - to be able to process AIA billing documents - to mail and validate refund checks for customers - to maintain logs for all transactions that occur in a day - to contact customers in relation to their payment inquiries - to process delinquent invoices - to follow up on any declined credit card - to enter data into the company software - to balance receipts and payments. Another duty of a billing assistant is resolving any issues that might arise from events or actions that involve administrative functions, from the sale process, to billing of the client. Performing the filling in an accurate, meticulous and timely manner will prevent any errors. The billing assistant works under the supervision of a billing manager. Although working under supervision, he or she must possess the ability to work independently and must, sometimes, provide administrative support. Analytical thinking, working under pressure, coping with tight deadlines and very good problem-solving skills are also required. Candidates must have many other skills for the job of a billing assistant. The most important are very good organizational skills, strong knowledge of or being open to learn, to acquire financial concepts, experience with bookkeeping, punctuality, a positive attitude, advanced multi-tasking. Billing assistants have to also have strong verbal and written skills and be able to provide exceptional customer service, since they work directly with customers. Very good research abilities, basic accounting, math and software skills are requirements for such a position. Working hours: Monday - Friday, 8:00 am - 5:00 pm Education and Other Qualifications A basic qualification would be a high school diploma, very good working knowledge of the Microsoft Office package, especially Word and Excel. Job Purpose The Expeditor is to coordinate and expedite the deliveries and materials to the job site according to schedule. Duties include reviewing and creating shipment schedules; conferring with Sales Persons to determine progress of work and completion dates; and compiling reports on progress of work, and problems. Primary Duties and Responsibilities The Expeditor performs a wide range of duties including some or all of the following: - Create a detailed shipping reports for current projects and open orders which identifies and sequences the activities needed to successfully complete the project - Import new orders and send to the correct mill or manufacturer - Review the project schedule with outside salesperson all other staff that will be affected by the project activities; revise the schedule as required - Communicate effectively with the parties involved, (client, salesperson, installer, and/or contractor), to meet the delivery needs of the project, and ask for assistance when delivery schedules are compromised Implement the project - Execute the project according to the project plan - Develop forms and records to document project activities - Set up files to ensure that all project information is appropriately documented and secured - Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project Control the project - Monitor dates to ensure items arrive on schedule Evaluate the project - Ensure that the project deliverables are on time.
